Privacy Policy

This policy explains what personal data CalonTerra collects, why we collect it, how long we keep it and what you can ask us to do with it. It covers this website and the survey work we carry out.

1. What we collect and why

Survey enquiries

When you complete an enquiry form on this site we receive your name, email address, telephone number and the postcode of the site, along with the service you selected, the details you typed, whether you flagged the job as urgent, and the travel distance and indicative quote the form calculated from your postcode.

We use this to reply to you, to price the work and to arrange access. The lawful basis is legitimate interests where you are asking us to quote, and performance of a contract once you go ahead.

Flight authorisation records

When a Flight Authorization Instrument is signed on site we capture the GPS location, IP address and timestamp of the signing device. This acts as a digital witness confirming the authorisation was given physically at the site, which protects both parties against a disputed or fraudulent authorisation. The lawful basis is our legal obligation to operate lawfully under CAA rules, and our legitimate interest in holding evidence of authorisation.

Survey imagery

Surveys produce photographs and video of buildings and land. These may incidentally include people, vehicles or neighbouring property. We capture only what the survey requires, and we do not use client imagery for marketing without permission. Images published in our public gallery are watermarked before they are uploaded.

Website and server data

This site is hosted on Netlify, which keeps standard server logs including IP addresses for security and diagnostics. Form submissions are processed by Netlify Forms on our behalf. Typefaces are loaded from Google Fonts, which means Google receives your IP address when a page loads.

This site does not set advertising cookies, and no analytics or measurement tags are running on it at present. If we introduce analytics we will name the provider in this policy before switching it on.

2. Who we share it with

We do not sell personal data, and we do not share it for marketing. Data is shared only with:

  • service providers who host the site and process form submissions on our instructions;
  • your insurer, surveyor, builder or solicitor, where you ask us to send a report to them;
  • the Civil Aviation Authority, police or other authorities where we are legally required to provide flight records.

3. How long we keep it

Enquiries that do not become jobs are kept only as long as needed to deal with the enquiry and any follow-up. Records relating to completed work, including reports and flight authorisations, are kept for as long as our insurance, tax and regulatory obligations require, and are deleted once that period ends.

4. Where it is stored

Physical records are secured at our principal trading address. Digital records are encrypted and held on UK GDPR compliant servers. Flight authorisation records are stored offline.

5. Your rights

Under UK GDPR you can ask us to:

  • give you a copy of the personal data we hold about you;
  • correct anything inaccurate;
  • delete data we no longer have a reason to keep;
  • restrict or object to how we are using it;
  • transfer it to another provider where that applies.

6. Concerns about drone operations

If you believe you or your property have been captured by one of our flights and you want to know more, contact us with the date, approximate time and location. We will check the flight record and tell you what was captured.

7. Complaints

Please raise any concern with us first. If you are not satisfied with how we have handled it, you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
